Annual maintenance contract checklist and template

The parts an AMC has to carry, with fields to fill in for your own site, so the scope is agreed before the first breakdown.

This template walks through what an annual maintenance contract has to carry: the scope split, the asset register, the PPM calendar, exclusions, priorities and response clocks, KPIs with data sources, service credits, mobilisation, staffing, reporting, data ownership, and term and exit. Each part has fields to fill in. It is a working template, not legal advice.

What is in the template

01

Scope split

Hard, soft and specialist services marked in or out, and the boundary questions answered in writing, repair against replacement first.

02

Annex A, the asset register

The rules that make the register the scope, and a blank register for the site walk.

03

Annex B, the PPM calendar

Asset classes down the side and twelve months across, with intervals set from the manufacturer's guidance and the duty.

04

Annex C, the exclusions

What is out unless written in, what counts as a consumable, the parts threshold and the critical spares held on site.

05

Annex D, priorities and response

P1 to P4 with blank windows for staffed hours and out of hours, the five clocks, valid pauses and an escalation matrix.

06

KPIs and service credits

Ten KPIs with how each is counted and blank cells for source, period, target and trigger, then the credit cap, the threshold and earn-back.

07

Mobilisation and staffing

Mobilisation tasks with owners and dates, the handover list for the outgoing provider, and the employment terms to write in.

08

Reporting, data and exit

What the monthly pack carries, who owns the CAFM data, the commercial frame and the exit plan.

02

Ask for the full checklist

Facilities managers, procurement leads and landlords writing or renewing a maintenance contract for a building in Saudi Arabia, and anyone replacing a one-page AMC that lists no assets. Fill it in before the draft goes to your lawyer.

A person reads each request and sends the PDF by email.

Before you ask for it

Q01

Can I download it straight from this page?

No. It is not a public download: you ask for it with your name, company and work email, and a person at ITF reads the request and sends the PDF to you by email.

Q02

What format is it?

A PDF of eight A4 pages, made to be printed. The tick boxes, blank registers and fill-in lines are drawn for a pen, so each row can be marked by hand.

Q03

Can we use it as our contract?

Use it to build the annexes and to check a draft. It is a working template, not legal advice, so have the final contract reviewed by your own lawyer.

Q04

Does it include response times or prices?

No. A response window depends on whether a team is on site, its hours, the drive and how critical the assets are, so the template leaves each window blank for your site. Prices depend on your assets and are left out too.

Q05

Does it work for a government contract?

The structure does. On public contracts the service credit cap comes from the governing procurement law, and the new Government Tenders and Procurement Law takes effect on 2 January 2027. Confirm which version governs your contract.
