Scheduling, and why dates appear late

In-house courses run on your dates, and open runs appear here only once they are confirmed.

Most ITF courses run in-house on dates you choose. Open runs are published here only when they are confirmed, with the date, the city and the language, because a published date we then cancel is worse than no date. Emergency response mobilisation is set at scoping.

A year strip from January to December. The hot months from May to September are shaded, with a sun marking outdoor practicals for the cool early morning. Ramadan is a band that moves earlier each year. An audit date is pinned in May, and the courses are placed backwards from it: awareness before Ramadan, the internal auditor course as four short sessions during Ramadan, the fire practical early in the morning after it, and the site's own internal audits just before the audit.PLANNED BACK FROM THE AUDIT, AROUND RAMADAN AND THE HEATHOT MONTHS · MAY TO SEPTEMBEROUTDOOR PRACTICALS IN THE COOL MORNINGRAMADANMOVES EARLIEREACH YEARSHORTER WORKING HOURSJANFEBMARAPRMAYJUNJULAUGSEPOCTNOVDECYOUR AUDIT DATEYOUR INTERNAL AUDITSFIRE PRACTICAL, AFTER RAMADAN, EARLY MORNINGINTERNAL AUDITOR, FOUR SHORT SESSIONS IN RAMADANAWARENESS, BEFORE RAMADANWORKED BACKWARDS FROM THE AUDIT DATE

Scheduling, and why dates appear late sits at step 4 of the delivery cycle. You receive confirmed dates and joining instructions.

01

A date is only useful if it holds

A published date that is later cancelled costs you more than no date at all.

It costs a shift released for nothing, a rota rebuilt twice, and a group of people told to expect training on a day that did not happen. The next date you publish is then believed a little less.

So in-house courses run on dates you choose, and open runs are listed here only once they are confirmed, with the date, the city and the language. An annual calendar download appears here only once a real calendar exists.

02

What shapes a date in the Kingdom

No open runs are confirmed at present, so dates are set in-house, around these five constraints.

ConstraintWhat it changes
Prayer timesEvery timetable breaks for Dhuhr, and the break times move with the prayer schedule on the day.
RamadanWorking hours shorten, so a seven-hour course usually runs across two shorter days.
Summer heatOutdoor practicals, such as the fire extinguisher session, are planned for the cooler part of the day between May and September.
Shift patternsHalf-day formats exist for shifts, and running a course twice around a shift change is normal.
Your audit dateWork backwards from it. Internal auditors trained a week before the audit have no time to audit.
03

Paperwork once dates are set

01

Confirmed dates in writing

Per course, so your rota, our trainers and the venue all work from the same date.

02

Joining instructions

The venue or the link, the start time, the participant list, the language, and what each person brings.

03

A material handover list

Which of your documents each course needs, and by when, so the exercises can be rebuilt on them a week ahead.

04

A mobilisation confirmation

For emergency response: the trainers named and the practical area agreed, before anyone arrives on site.

04

From a request to a fixed date

  1. 01

    Your constraint

The course, the number of people, the sites, the language and the date that matters, usually an audit.

    On request
  2. 02

    Dates proposed backwards

Courses placed back from the audit date, around prayer times, Ramadan, the heat and your shifts.

  3. 03

    Dates confirmed

Confirmed in writing per course, with the joining instructions and the material handover list.

    On booking
  4. 04

    Mobilisation

Your material arrives and the exercises are rebuilt. For emergency response, trainers and equipment are mobilised against the confirmed date.

05

A programme planned around Ramadan

A manufacturer needed awareness, internal auditor and fire training in a half year that had Ramadan in the middle of it and a certification audit at the end.

The awareness days ran before Ramadan, while full working days were available. The two-day internal auditor course was split into four shorter sessions during Ramadan, fitted to the shortened hours. The fire practical ran after it, early in the morning, because the season had turned hot.

The manufacturer ended up holding confirmed dates for every course, a material handover list for each, and internal auditors trained with enough time left to run the internal audits before the certification body arrived.

About dates

Q01

Why not publish a year of dates in advance?

Because a date we later cancel costs you a released shift and a rota rebuilt for nothing. We publish a run once it is confirmed and not before.

Q02

How soon can a course start?

Emergency response timing is set at scoping. Other in-house courses need your material a week ahead, so allow at least that.

Q03

Can a course run at night or at the weekend?

Yes. In-house scheduling follows your shift pattern, nights and weekends included, and half-day formats exist for shifts.

Q04

What if we need to move a date?

For emergency response, rescheduling arrangements are set at scoping. For other courses, tell us as early as you can, and the new date is confirmed in writing like the first.

Give us the date that matters

Usually it is an audit. Tell us that date, the sites and the shifts, and the proposal comes back with every course placed backwards from it.
