Training for document controllers
Clause 7.5 in practice, and the tools that stop a register's review dates from slipping.
- Start with
- Document and records control, full day on your register
- Then
- AI and digital tools in operations, 1 day
- If they keep the NCR register
- Nonconformity and corrective action, ½ day
- Covers
- Clause 7.5, common to ISO 9001, 14001, 45001 and 22000
- Certificate
- ITF certificate of completion, one per course
A document controller needs document and records control, ideally the full-day version run on their own register, and gains most next from the AI and digital tools course. Where they also keep the NCR register, add nonconformity and corrective action, a half day that pairs naturally with root cause analysis.
- 01 Enquiry
- 02 Needs analysis
- 03 Programme design
- 04 Scheduling
- 05 Delivery
- 06 Assessment
- 07 Certification
- 08 Records
Training for document controllers sits at step 2 of the delivery cycle. You receive a training needs matrix.
Four questions, ten minutes
An auditor needs four questions to find out whether a document system works, and the controller answers all of them.
Show me the current version and how you know. Who approved it? Where is the old one? When did you last check the standards you cite?
The fourth question is catching sites right now. ISO 14001 was revised in April 2026 and ISO 9001 in September 2026, so procedures that still cite the 2015 editions as current are an external document control finding waiting to be written. External documents change without telling anyone, and only a register with an owner and a check date per item catches them.
Most people doing this job did not design the system. They inherited a shared drive built by three previous people, with several plausible current versions of everything. The full-day workshop exists for them: the second half restructures their own register rather than a sample.
Three courses for the person who keeps the list
| Course | Why this person needs it | Length |
|---|---|---|
| Document and records control, workshop version | Hierarchy, approval, versions, withdrawal, retention and external documents, with the afternoon spent on the controller's own register. | 1 day |
| AI and digital tools in operations | Review dates, expiry flags and register upkeep done with the tools, with a verification step so the approval trail survives. | 1 day |
| Nonconformity and corrective action | Where the controller also keeps the NCR register. Pairs with root cause analysis for whoever investigates. | ½ day |
What goes back on the controller's desk
A document master list template
Owner, revision, approval date and next review, the minimum that makes a system auditable.
An external document register
With an owner and a check date per standard, specification and supplier data sheet.
A records retention schedule template
Retention set as the longest of legal, contractual, scheme and your own need, with the reasoning recorded.
A verification checklist for AI-assisted documents
So a drafted procedure is checked before it is approved, and the check is on record.
An NCR form and register template
Where the controller keeps the findings log, with a closure and verification checklist.
An administrator and an inherited drive
A manufacturer's administrator was given document control on top of the job, with a shared drive holding procedures from three previous owners and no master list.
The workshop ran on site. The morning covered the lifecycle and the withdrawal step. The afternoon built a master list from the documents that actually existed on the drive, marked which version of each was live, and moved the superseded versions to a marked archive rather than deleting them.
The external document sweep found procedures still citing ISO 9001:2015 as current. They went onto the external register with an owner and a check date. The AI and digital tools day followed, with the administrator's working artefact built around the review dates on the new master list.
The manufacturer ended up holding a master list built from what existed, an external document register, a retention schedule, a verification checklist for drafted documents, and a certificate per course for the administrator.
Asked by whoever inherited the drive
Half day or full day?
The full day if the system was inherited or grew without a design, which is most of them. The second half is spent on your own register. The half day suits a controller whose system already works and who needs the method and the auditor's questions.
Everything is on SharePoint. Does that change the course?
It changes the exercise, not the requirement. Access rights, version visibility, marking obsolete versions and showing the approval trail are all worked through against your own setup.
Why the AI course for a document controller?
Because most of the job is keeping dates and versions current across a long list, and that is the work the tools help with most. The course is built around verification, so nothing drafted by a tool reaches the register unchecked.
We want the register in software. Is that training?
That part is a build. The course teaches the controller to run a controlled system in whatever tool you use, and ITF Digital builds document control systems when you want one made.
